Job Description and Qualification:

Job Summary:

The Administrative and Facilities Assistant II provides administrative and clerical services with confidentiality, tact, and diplomacy in order to ensure effective and efficient functioning of facilities, office operations, and business support services. The Administrative and Facilities Assistant II develops and implements secretarial standards, policies, and procedures. The Administrative and Facilities Assistant II trains, develops, and manages one receptionist. The Administrative and Facilities Assistant II serves as the Executive Assistant, Security and Facilities Assistant, or Receptionist in his/her absence. You may be assigned other duties to help proactively drive our FieldCore vision and align with our organization’s core values.

 

Essential Duties & Responsibilities:

  • Provide administrative and clerical services with confidentiality, tact, and diplomacy in order to ensure effective and efficient functioning of facilities, office operations, and business support services
  • Develop and implement secretarial standards, policies, and procedures and create and maintain an effective front desk training manual
  • Serve as the Executive Assistant, Security and Facilities Assistant, or Receptionist in his/her absence
  • Train, develop, and manage one receptionist
  • Receive, screen, and direct incoming calls, visitors, mail and email
  • Maintain files, records, and calendars and schedule appointments in order to maximize organizational efficiency
  • Conduct inventories and track expenses of office, courier, and kitchen supplies and coordinate their reorders, receipt, and issuance
  • Execute Iron Mountain document management processes by fulfilling document deliveries
  • Coordinate catering, office events, and holiday decor
  • Coordinate office maintenance and repairs as needed
  • Refer internal facility issues to the appropriate personnel and maintain a log of all maintenance, cleaning, and office services
  • Assist with coordinating business travel, conference plans, and meeting arrangements
  • Perform other duties as assigned
  • Travel may be required
  • Ability and willingness to work holidays, weekends and overtime as required by field assignments – Field
  • English proficiency required – staff only

Required Qualifications & Experience:

  • High school diploma or equivalent required
  • Associates degree preferred
  • Three years of administrative assistant experience required
