Job Description and Qualification:

Detailed Tasks

1. Assist in the maintenance and enhancement of the division’s existing data files using Computer or manual systems

2. Helps in the preparation of tables in Excel and basic data analysis

3. Supports the encoding and updating of the division’s online knowledge repositories and its contents

4. Support the maintenance and updating of the division’s filing systems and records in accordance with the division’s existing framework

5. Assists in the setup of arrangements for conferences, seminars, and meetings and other

requirements, including set-up/arrangement of videoconferencing facilities with RMs

6. Logs incoming documents in the system and delivers outgoing mails/faxes

7. Assists in the preparation of correspondence and documents for ADB supervisory staff in

compliance with ADB’s standards

8. Helps coordinate schedules for appointments, meetings, travels and accommodation of

concerned ADB supervisory staff

9. Assists in the screening of incoming telephone calls, taking of messages, and dealing with

queries from internal/external callers for referral to concerned staff

10. Assists in the stock-taking of office supplies inventory for the division and maintenance of its Adequacy


Education Requirements and Relevant Experience

·         The ideal candidate would have a Bachelor’s Degree with at least 3-5 years relevant professional experience. The following are the required knowledge and skills:

·         Good computer skills. Familiar with computer systems used generally in multilateral organizations

·         Good typing skills. Good memo composition and editing skills.

·         Ability to manage priorities and workload within general schedule of work, instructions and standardized practices. Ability to maintain composure under pressure.

·         Able to liaise and work effectively with staff within own work location

·         Able to work with individuals from different cultural/national backgrounds

·         Good interpersonal and communication skills

·         Able to work collaboratively with teams as a constructive team member

·         Good oral and written communication skills in English
