Job Description and Qualification:

We are looking for an Admin Specialist in Makati.


  • Bachelor’s degree in Business Management, Office Administration and other related fields with at least five (5) years of solid and relevant experience.
  • Has at least five (5) years in managing team members
  • Has experience working in a multicultural environment, experience in shared services environment is an advantage.
  • Ability to take initiative and make sound judgment and recommending decisions.
  • Vast knowledge on vendor and office administration, travel and facilities management.
  • Has knowledge and experience working on a PEZA environment, including related process and permit – PCO (pollution control officer), is an advantage but not required.
  • Has knowledge and experience in developing and implementing policies, guidelines, office memorandum, and other related official communication.
  • Has an interest in and ability to continuously improve processes
  • Has experience of working with contractors and suppliers and monitoring of service standards.
  • Has the ability to handle sensitive and confidential information with integrity
  • Has an understanding of compliance requirements and working with service level agreements
  • Has result-oriented mindset
  • Motivated to facilitate and contribute to ODP’s growth


  • Responsible in managing efficient execution of local and international travel and mobility process and policy.
  • Manage the Office Facilities Administration and coordination with all relevant stakeholders, suppliers and Building Management.
  • Responsible in supervising and facilitating office administrative support including but not limited to facilitating and assisting on management expense report/reimbursements, calendar management, supporting visitor’s agenda.
  • Responsible in administrative fixed assets issuance, monitoring and compliance.
  • Responsible in monitoring, keeping, updating contractors, suppliers, vendors related to office administration scope.
  • Facilitate new hire orientation related to office and facilities and other administrative tasks related to on-boarding.
  • Administer relevant PEZA - PCO administration compliance report
  • Assist in development and improvement of Office Administration Process and Policies in
  • collaboration with cross-functional teams.
  • Manage and oversee the relevant team’s deliveries to ensure quality and compliance in
  • accordance with Odfjell Drilling’s requirements and objectives
  • Supervises, and monitors and reviews progress and accuracy of work, directs efforts towards achieving agreed performance metrics and provides technical guidance on complex issues.
  • Ensures appropriate communication, feedback, coaching with team members through regular individual and team meetings
  • Manage local administrative duties, official communication, reports (statistical analysis to some reports may be required) and documentation related to work responsibilities.
  • Oversee executive management tasks including but not limited to: 
  • - Chief Operating Officer’s calendar, meeting schedule, and prepare related documents for meeting. 
  • - COO stakeholder interaction
  • Perform other related tasks that may be required from time to time.
