Job Description and Qualification:
GENERAL JOB DESCRIPTION:
- Performs secretarial tasks for the Branch General Manager (BGM)
- Carries out miscellaneous administrative tasks for the General Manager (GM) of Corporate Division
- Attends to other duties and responsibilities that may be assigned/requested by BGM and GM of Corporate Division from time to time
SPECIFIC JOB DESCRIPTION:
- Organizes and manages the schedule of BGM and GM of Corporate Division
- Arranges monthly GM’s meeting and prepares the minutes of the meeting
- Sets appointments of guests and attends to them
- Books hotels, restaurants, and flights (domestic and international)
- Facilitates the preparation of corporate lunch and dinner
- Handles golf bag and gold play reservations, and updates monthly dues of golf membership
- Facilitates Christmas cards and giveaways distribution to corporate clients and suppliers
- Prepares all monthly expenses and reimbursements
- Manages newspaper and magazine subscriptions
- Summarizes GM’s news articles and submits the summary to the sections concerned
QUALIFICATIONS:
- Must be a Japanese speaker (at least N3 level)
- With excellent communication skills in English
- Pro-active, with business-sense and accounting-sense
- Candidate must possess at least Bachelor's/College Degree in any field
- Preferably 1-4 years experienced employee specialized in Secretarial/Executive & Personal Assistant or equivalent
- Other Required Skill(s): Organization, Planning, Administrative, Time-management, Multi-tasking
- Must be proficient in using Microsoft Office
NOTES:
- Intended start date will be around March
- Interview process will be with (1) HR staff, (2) HR managers, (3) HR general manager
- All interviews will be done online thru Zoom or Microsoft Teams
