Job Description and Qualification:

Deliverables
  • Work with Application Domain Leads, Program/Project Managers to understand staffing requirements and provide resource management support.
  • Work with Application Domain Leads, Program/Project Managers, Vendor Manager to assign available resources to projects based on skills and experience.
  • Work with Vendor Manager to source and hire new resources in accordance to requirement and budget.
  • Monitor resource utilization, workload, overtime hours. Summarize information for Application Domain Leads and Project managers and create projections that are helpful for managing capacity.
  • Work with Project Managers, Vendor Managers and Third-Party Vendors for timely project resource on boarding and off boarding, including extensions.
  • Process onboarding and off boarding of resources including extensions. Ensure that required onboarding and offboarding documents are filed including but not limited to Scope of work (SOW), Purchase Orders (PO), Recommendation of Approval (ROA), Request for Access (RFA), Access provisioning/termination, etc.
  • Ensure timely invoice processing. Work with Project Managers in reviewing and approving invoices; closely work with Accounting group to follow up on billing details from vendors for timely accrual setup and reversals; and ensure costs are within budget.
  • Process and ensure on time resource man-hours and cost reporting (actuals and accruals) to Finance and Project Managers.
  • Prepare and present periodic updates on resource capacity to management.
  • Ensure resource related issues are raised on a timely basis and resolved at the appropriate levels.
  • Assist with the IT Solutions budget by gathering key inputs from application domain leads, project/program managers, TSS, and other internal teams and analyzing previous period spending across operational and capital expenditures.
  • Complete monthly analysis of the budget utilization based on actuals compared to budget and prepare variance reports. Summarize information for 2 Application Domain Leads and Project Managers and create projections that are helpful for managing budget including identifying outliers.
  • Present periodic updates on IT Solution spending for management.
  • Maintain and improve philosophy of expense methods including allocations, chargeback, and charge to keep within the company budget targets
  • Automate as much as possible for repeatable information.
  • Provide support to IT PMs for project related reporting. Assist PMs in tracking project budget against actuals.
  • Ensure timely invoice processing. Work with Project Managers in reviewing and approving invoices; closely work with Accounting group to follow up on billing details from vendors for timely accrual setup and reversals; and ensure costs are within budget.
  • Interface and build collaborative relationships with different departments across the company, such as Finance and Accounting, Project Management, and Business Unit Leads.
  • Prepare and submit weekly project progress reports, financial dashboards, or other ad-hoc reports as required by senior management.
Qualifications:
  • Bachelor's degree in Accounting/Finance, Business or other business-related discipline.
  • Ability to interface with project teams, finance, accounting, and company management.
  • Experience using Microsoft Office applications.
  • Ability to work with various systems and data sources to gather and assimilate required information.
  • Very detail oriented and reliable for accurate information.
  • Excellent English and Filipino communication (written and verbal) and presentation skills and management skills.
  • Must be able to think creatively in order to implement improvements.
  • Strong analytical, problem-solving, leadership and influencing skills.
  • Can effectively manage multiple projects/tasks of varying complexities, meet deadlines and work well under pressure.
  • Team player with analytical and problem-solving skills.
